Folders, favorites, tags and smart folders

Manage server folders, pin favorites, color folders, label messages with tags and keep searches as smart folders.

Server folders

Right-click a folder on the Mac, or touch and hold it on iPhone and iPad, for New subfolder …, Rename …, Move … and Delete folder …. On the Mac, New folder … in the context menu of the folder area creates a top-level folder; on iPad the sidebar toolbar offers New folder. FOLD applies these changes on the server, and subfolders move with their parent. A folder name must not contain /. On iPhone and iPad the same menu also offers Mark all as read.

To move messages, drag them from the list onto a folder in the Mac sidebar, or press ⇧⌘M and pick the folder in the palette. On iPhone and iPad, use Move. Messages can only be moved within their own account.

Favorites

Add to favorites pins a folder into the Favorites section below the unified mailboxes. There you can reorder it with Move up and Move down, or unpin it with Remove from favorites.

Folder colors

On the Mac, the folder context menu offers the colors as Color: entries and Remove color. On iPhone and iPad, use the Color menu and None. The color marks the folder in the sidebar.

Tags

A tag is a colored label. Its name is stored on the message as an IMAP keyword, so it stays with the message on the server.

  • Create: on the Mac with New tag… in the message context menu or the plus button next to Tags; the color is assigned automatically. On iPhone and iPad with New tag ….
  • Assign: Assign Tag on the Mac, or drag messages onto a tag in the sidebar. On iPhone and iPad, Add tag.
  • Show: select a tag in the sidebar to list all messages that carry it.
  • Change: on the Mac the context menu changes the color and offers Delete tag. On iPhone and iPad, touch and hold a tag for Edit (name and color) and Delete tag.

Smart folders

Smart folders are saved searches. Four are predefined: Unread, Flagged, With attachment and Last 7 days.

Known issue With attachment currently shows “This search operator isn’t supported yet.” instead of results.

On the Mac, Save as smart folder below the search field, or Save current search in the Smart folders header, keeps the current search. The context menu offers Rename and Delete.

New rule folder … (Mac only) builds a smart folder from conditions instead of search syntax. Combine them with All (AND) or Any (OR), add more with Add condition and check the result with Preview. Date conditions accept values such as 7d or 2026-01-01.

iPhone and iPad show all smart folders, but cannot create or edit them. With Device Sync turned on (on the Mac this requires macOS 14), tags, favorites, folder colors and smart folders are synced through your iCloud.

VIPs (Mac only)

Mark as VIP on a message adds its sender to your VIPs. As soon as you have one, the smart folder From VIPs appears. Remove VIP mark reverses it.
